# HubSpot Task and Activity Sync

> Understand task synchronization, Engagement Tracking, CRM State Rollups, and HubSpot timeline behavior.

HubSpot synchronization has multiple parts. A connected HubSpot account does not make every FirstTouch event appear in HubSpot automatically.

## Sync Types

| Sync type           | What it means                                                                                                           |
| ------------------- | ----------------------------------------------------------------------------------------------------------------------- |
| Engagement Tracking | Logs supported completed outreach activity to the HubSpot timeline.                                                     |
| Task sync           | Creates or updates HubSpot tasks for supported FirstTouch call, manual, or approval work when enabled on the Flow Plan. |
| CRM State Rollup    | Updates current-state HubSpot properties that summarize FirstTouch activity or context.                                 |
| Field enrichment    | Writes mapped enrichment values when matching, mapping, and overwrite rules allow it.                                   |

## Task Sync

The Flow Plan setting **Create tasks in CRM** controls task sync for that Flow Plan. The Team-level HubSpot integration must also be connected. A task is created only when the Flow Enrollment has HubSpot Company context and the assigned FirstTouch owner maps to a HubSpot owner.

Supported Call Tasks, Manual Tasks, and Approval Tasks can create matching HubSpot tasks. FirstTouch and HubSpot synchronize supported terminal task states. If a previously synchronized HubSpot task is removed or can no longer be found, FirstTouch cancels the local task. If that task is an Approval Task, its cancellation can also cancel the Flow Enrollment.

Task sync can fail or wait when:

* HubSpot is disconnected
* the Flow Enrollment has no HubSpot Company ID
* the assigned FirstTouch owner does not map to a HubSpot owner
* required permissions are missing
* the HubSpot task no longer exists
* the FirstTouch action is waiting on another requirement

## Engagement Tracking

Engagement Tracking logs supported completed activity selected in **Team Settings > Integrations > HubSpot > Engagement tracking**.

For email, all of the following must be true:

* **Email sent and received** is enabled for the Team's HubSpot integration
* email tracking is enabled on the Flow Plan
* HubSpot is connected
* the supported email event has completed
* the Flow Enrollment has a HubSpot Contact ID

No HubSpot BCC setup is required for this FirstTouch email tracking path. LinkedIn and social-signal logging depend on their enabled Engagement Tracking toggles and a matched HubSpot Contact.

## CRM State Rollups

CRM State Rollups are conceptually different from timeline activity: timeline entries record completed events, while rollups summarize current FirstTouch state in HubSpot properties. The available **Engagement tracking** toggles control the related timeline and state-update behavior together where supported. There is no separate customer-facing set of CRM State Rollup toggles.

## Troubleshooting Missing HubSpot Activity

Check:

* HubSpot connection status
* whether the action completed in FirstTouch
* Engagement Tracking settings
* the Flow Plan's **Create tasks in CRM** setting
* HubSpot Company context and owner mapping for task sync
* Contact matching
* property mapping and the applicable overwrite behavior
* HubSpot permissions
